General Information about Pacifica Performances
Pacifica Performances is a volunteer nonprofit organization providing live music in Pacifica. It is overseen by a Board of Directors of community members and volunteers. Pacifica Performances presents a wide range of musical performances at The Mildred Owen Concert Hall (The Hall) and manages other use of the hall, including rentals. We stage volunteer run concerts most Saturday nights during the year.

Position General Information
Pacifica Performances is looking for a self-motivated person who can work with a minimum of supervision to become our Office Manager. The position is 3/4 part-time, six hours per day, including a 30-minute lunch break five days a week. The salary is $3,300 per month. Working hours are 10 AM to 4:30 PM, Monday through Friday, and includes a 30-minute lunch break. The Office Manager will be provided with 11 major holidays off, one week of sick leave and one week of vacation (unused vacation time will be paid at the end of year).

General Requirements (Equivalent experience acceptable)

  • Familiarity with use of Microsoft Word and Excel programs.
  • General familiarity with various other computer resources, such as the Mac computer, FileMaker Pro (training provided), and Mailchimp (training provided).
  • Able to update online worksheets and other documents. Must be proficient in the use of email.

Duties of the Position

  • Maintain membership records, create and mail membership letters and cards.
  • Provide support for the ongoing concert series: track online ticket purchases, take table reservations, verify concert income and performer pay, deposit concert and other proceeds, report concert statistics to appropriate parties.
  • Create and send weekly promotional emails in conjunction with the Artistic Director and maintain email list.
  • Prepare monthly financial summary reports for appropriate parties.
  • Inventory and order refreshments and supplies for the hall, and the office.
  • Schedule volunteers for front desk and refreshment positions at concerts.
  • Monitor email, postal mail, office phone, and respond appropriately.
  • Maintain office files.
  • Create and maintain hall signage.
  • Respond to hall rental requests and provide information; guide prospective renters on Hall tours; confirm prospective rental with house manager then create rental agreement; collect all documentation, and confirm all requirements are met. Arrange volunteer liaison to work with renter.
